This privacy policy explains how Gatcombe Estate (“we”, “our” or “us”) collects, uses, shares and protects personal information when you visit the estate, use our website, email us or deal with us in any other way. We handle personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations, as amended by the Data (Use and Access) Act 2025.
Gatcombe House is a Grade II* listed Georgian house in the heart of the Isle of Wight, built in 1751 for Sir Edward Worsley, at the centre of an estate recorded in Domesday.
The estate’s activities are run by two businesses, each of which is the “controller” of the personal data it collects:

We collect only the personal information we need for a particular purpose, and we use it for that purpose and for closely related matters you would reasonably expect — for example, following up a booking or answering a further question about it. We do not use it for anything unrelated without telling you first and, where the law requires, asking your consent. We never sell personal data, and we do not add anyone to a mailing list unless they have asked to be on it or, as an existing customer, have been given a clear chance to say no.
When you email us, or fill in an enquiry form on our website, we receive your name, your email address and anything else you choose to include in your message — and sometimes details of other people, such as the members of your party or your wedding planner.
Tours are booked through Ticket Tailor and Coach House stays through Lodgify, and Coach House stays are looked after for us by Hostd Homes, who receive the guest details they need to manage your stay.
If you register interest in a wine allocation through our website, we collect your name, email address, postcode, the number of bottles you are interested in and, if you choose to give them, your telephone number and any message. We use these only to contact you about that allocation, and we ask you to confirm that you are aged 18 or over.
You can unsubscribe at any time using the link in every email, or by emailing us.
Access to your personal data is restricted to our staff, and to volunteers who help with tours, on a need-to-know basis only. We will never sell your data.

Where these third parties act as data processors, we have appropriate contracts in place requiring them to process your data only on our instructions and to keep it secure.
Some of our service providers store or process data outside the UK. Where this happens, we make sure the transfer is lawful — for example, because the country is recognised as providing adequate protection, or because the provider has agreed to the UK International Data Transfer Agreement or equivalent safeguards.
We use password-protected business systems with restricted access, and we choose service providers who meet recognised security standards. We never ask for card details by email.

If you are unhappy with how we have handled your personal data, please tell us first, by email to welcome@gatcombeestate.com with “Data protection complaint” in the subject line, or by post to the trading address above. We will acknowledge your complaint within 30 days, look into it properly, and keep you informed of the progress and the outcome.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint, or 0303 123 1113.
We use Google Analytics to understand how visitors use our website, so that we can improve it. Google Analytics sets cookies (named _ga and _ga_ followed by an identifier) that count visits, see which pages are read and roughly where visitors come from. They do not tell us who you are. We have switched off Google’s advertising and personalisation features, and we do not use this information for advertising.
These cookies are set only if you click “Accept” on the cookie notice when you first visit. If you click “Decline”, no analytics cookies are set and nothing is sent to Google Analytics. Your choice is remembered in your browser, and you can change it at any time by clicking Cookie Settings at the foot of any page. Google Analytics cookies last for up to two years unless you clear them or withdraw your consent. The information is processed by Google on our behalf; Google’s own privacy policy explains how it handles data.
Our tour booking pages and the Coach House booking panel are provided by Ticket Tailor and Lodgify. If you use them to book, those services may set the cookies they need to complete your booking.
If we plan to take photographs or film individuals or small groups at an event, we will ask for your consent before doing so. For large events, we will inform you that photography or filming is taking place at the point of booking and through clear signage on the day.
We operate CCTV cameras at our property for security purposes. Appropriate signage is in place where CCTV is in operation. CCTV footage is retained for one calendar month unless a crime or incident has been reported and the images need to be retained for investigation purposes.
We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. We will post the updated policy on our website and, where appropriate, notify you by email.
